Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement that you will receive upon booking confirmation or at the time of vehicle collection. This agreement outlines the terms, conditions, insurance provisions, fees, and your responsibilities related to the rental. In case of any discrepancies between these Terms and the Rental Agreement, the terms of the Rental Agreement will prevail.
Eligibility Criteria
Vehicle Rental Requirements
- To rent a vehicle from Heywood, you must be at least 21 years old, though age restrictions may differ based on the vehicle type. Drivers younger than 25 may incur additional fees. A valid full driving license suitable for the vehicle category is required, along with identification and proof of current address. You will also need to provide valid payment information and a security deposit, and comply with any extra conditions outlined in the Rental Agreement.
Booking and Payment Process
- Reservations can be completed via our website, by telephone, or directly at our Dartford office. A deposit may be necessary to confirm your booking. The remaining balance and a security deposit are usually payable upon vehicle pickup. All prices are listed in British Pounds (£) and include VAT where relevant. We accept major credit and debit cards, processed securely through trusted payment systems.
Vehicle Pickup and Drop-off
- At the time of vehicle collection, a thorough inspection is required to identify and report any pre-existing damage. A vehicle condition report must be completed and signed to document this assessment. Upon returning the vehicle, it should be in the same condition as when it was collected, accounting for normal wear and tear. Any new damage will be evaluated and charged accordingly. The vehicle should be returned with the same fuel level as at collection; refueling fees will apply if it is returned with less fuel. If you expect to return the vehicle late, please notify us as soon as possible, as late returns may incur additional fees. You will be responsible for any parking fines, traffic violations, or charges incurred during the rental period, along with an administration fee.
Insurance and Liability Terms
- All rentals from Heywood include basic third-party insurance. You can find complete coverage details and excess amounts in your Rental Agreement. Additional insurance options may be offered to help lower your financial liability. It's advisable to review these options thoroughly. You are accountable for any damage or loss up to the excess amount unless covered by additional insurance. Damage resulting from negligence, misuse, or violation of these Terms remains your responsibility, regardless of existing insurance coverage.
Cancellation and Modifications
Cancellation and amendment policies differ based on the type of booking and the notice period provided. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or failure to show may incur additional charges.
Prohibited Activities
Prohibited Uses of Rental Vehicle
- Vehicles must not be used for any illegal activities, including racing, off-roading, or any dangerous behaviors. Transporting hazardous materials is prohibited. Sub-letting vehicles or permitting unauthorized drivers is not allowed. Driving under the influence of alcohol or drugs is strictly forbidden. Additionally, vehicles should only be used for their intended purposes, adhering to passenger and weight limits. Travel outside designated geographical boundaries requires prior authorization.
Breach of these terms may lead to rental termination and extra fees.
Liability Limitations
To the fullest extent allowed by English and Welsh law, Heywood Car Hire will not be responsible for any indirect, incidental, or consequential damages, including loss of profits, data, or business, resulting from your use of our services. Our total liability for any claims will be capped at the rental amount paid in the previous 12 months. This limitation does not apply to liability for death or personal injury due to negligence or fraud.
9. Applicable Law
These Terms are governed by the laws of England and Wales. Any disputes will be resolved exclusively in English and Welsh courts.
10. Updates to Terms
We reserve the right to update these Terms at any time. Changes take effect as soon as they are posted on our website. Continued use of our services indicates your acceptance of the revised Terms.
